Job Summary:
We are seeking a highly organized and proactive Personal Assistant/Executive Assistant to provide comprehensive support to a busy executive. The ideal candidate will be able to handle a wide range of administrative and personal tasks, ensuring smooth and efficient operation both in the office and in the executive's personal life. This role requires flexibility and the ability to travel out of state as needed.
Key Responsibilities:
- Manage the executive's calendar, including scheduling appointments, meetings, and travel arrangements.
- Coordinate domestic and international travel itineraries, including flights, accommodations, transportation, and meeting arrangements.
- Handle confidential information with discretion and maintain the highest level of professionalism.
- Assist with personal tasks such as managing household schedules, coordinating family events, and handling personal errands.
- Prepare and edit correspondence, reports, presentations, and other documents.
- Conduct research and provides information to assist with decision-making and project planning.
- Screen and prioritize phone calls, emails, and other communications.
- Maintain and organize files, records, and other essential documents.
- Liaise with internal and external stakeholders on behalf of the executive.
- Ensure timely follow-up on action items and deliverables.
- Perform other administrative and personal duties as assigned to support the executive.
Qualifications:
- High school diploma or equivalent; bachelor's degree preferred.
- Proven experience as a Personal Assistant, Executive Assistant, or similar role.
- Excellent organizational and time-management skills.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Ability to work independently and prioritize tasks effectively.
- Strong problem-solving skills and attention to detail.
- Flexibility to travel out of state as needed.
- Valid driver’s license and reliable transportation.
- Ability to maintain confidentiality and handle sensitive information with discretion.
Preferred Experience:
- Experience in supporting high-level executives or professionals.
- Familiarity with travel coordination and itinerary planning.
- Knowledge of office management systems and procedures.
Working Conditions:
- Office environment with potential for remote work as needed.
- Frequent travel out of state, requiring flexibility in schedule.
- May involve occasional evening or weekend hours, depending on the executive's schedule.
